How to Effortlessly Migration Outlook Email Mailboxes to Office 365 In Few Steps

Migrate personal or business email from any on-premises email client to Office 365, giving you the flexibility to access email from any connected online device. Office 365 also has a large number of services that can improve email productivity. Since Outlook is the primary email client, most people need to migrate Outlook emails to Office 365.

There is an Outlook migration option where you can export emails to external PST files. In the future, you can use your Office 365 account to migrate PST files back to Outlook. The following are the reasons that force you to migrate email to Office 365;

  1. Conversion of email accounts – When you are using Gmail(test…@gmail.com), hotmail(test…@hotmail.com) and other older emails and want to migrate a new email account, such as test…@soharos.com. Although you can create a new test in the Outlook … @soharos.com application, it will not contain emails from previous accounts.
  2. Change PC to PC – When you change your PC from an old PC to a new PC, you need to install Outlook again. In this case, you would also like to receive older emails. Therefore, you need to export the emails to a PST file and then migrate the PST file to a new computer.
  3.  Regular backup – Backing up large mailboxes reduces the size of the entire mailbox and regular backups increase data security. After backing up the data to the PST file, you need to save the file to another external location, such as another computer or USB drive.

The Outlook process migration process requires exporting emails to an external PST file and migrating the PST file to another Outlook application with an Office 365 account.

Method to Export Data file (.pst) from Outlook

  • Open MS Outlook & in the top left corner, click File.
  • Follow “Open and Export” >> “Migration / Export”.
  • Select the second option of “Export to file” >> Click “Next”.
  • Select “Outlook Data File (PST)” >> click “Next”.
  • Select the email account, then expand the folder to select it. Make sure you’ve checked the “Include subfolders” option to export everything to your account. Select Contacts, Calendar, Inbox, Calendar and click Next.
  • Click the Browse button to select the location of the PST file. Click OK to continue
  • Finally, click the Finish button to start the export.

Note: When creating the export job, if you choose a password protected option, you can increase the security of the PST file. Therefore, in most cases, you should choose to put the password in the PST file.

Method #1: Migrate Outlook Emails to Office 365, Manually

After exporting the mailbox data to the PST file, you need to log in to Outlook again and migrate the PST file to your Office 365 account mailbox.

  • In the upper left corner of the Outlook ribbon, click “File”.
  • Click on the “Add Account” button and fill the details of Office 365 user account
  • Follow “Open and Export” >> “Import / Export“.
  • Select “Import from another program or file” and click “Next”.
  • Select “Outlook Data File (PST)” and click “Next”.
  • Browse the PST file you exported earlier, then there are three options in “Options” >>Next
  • If a password has been assigned to the PST file, you need to enter the password and click “OK”.
  • Check the “Include folder” box and select the “Migrate items to same folder” option.
  • Now, click on the Finish button.

Outlook will start migrating the contents of the PST file to the Office 365 mailbox. After that, you can check all the contents of the mailbox.

Workarounds for bulk migration of Outlook emails to Office 365

When you want to migrate data from a single Outlook account to Office 365, the integrated Outlook method is suitable for migrating a single mailbox. However, if you want to migrate multiple mailboxes to Office 365, it will take a long time to migrate to each mailbox. Also, you can’t filter migrated emails and exclude non-migrated emails.

6. Use Advance settings to create a mailbox of the same name as PST file in Office 365 account and then click on the Import button to begin the process.
